Motorrad Lab is an independent motorcycle diagnostics and customisation service. We take care to collect only the information needed to answer enquiries, arrange appointments and provide our services.
1. Who is responsible for your information?
Motorrad Lab is the data controller for personal information collected through this website and during the provision of its services. Questions, requests or marketing opt-outs can be sent to hello@motorradlab.co.uk.
2. Information we collect
Depending on how you use the service, we may collect:
- Your name, email address and telephone number.
- Your motorcycle model, service requirement, booking time and information you include in an enquiry.
- Your postcode when you request a call-out mileage estimate. The calculator uses it to obtain coordinates and calculate road distance; it is not added to a marketing list.
- Your marketing preference, including when and where consent was given.
- Basic technical and security records such as IP address, request time and browser information in server logs.
Please do not include unnecessary sensitive personal information in enquiry or booking notes.
3. How and why we use it
- Enquiries and quotations: to respond to you and take steps you request before entering a contract.
- Bookings and services: to arrange and provide the requested work, take payment when enabled, maintain service records and meet contractual obligations.
- Administration and security: for fraud prevention, troubleshooting, backups and protecting the website, based on our legitimate interests.
- Website analytics: to understand aggregate page traffic, popular content, referring websites and device types using first-party server records. Raw IP addresses are not copied into the analytics database and no analytics cookie is placed on your device.
- Legal and financial records: where retention is needed to comply with tax, accounting or other legal duties.
- Email marketing: only where you have actively opted in. Consent is optional and can be withdrawn at any time.
4. Marketing choices
The contact form’s marketing box is unticked by default. You can submit an enquiry without selecting it. If you opt in, we may send occasional emails about Motorrad Lab news, availability and related services. We do not sell marketing lists or give your details to other businesses for their own marketing.
To withdraw consent, reply to any marketing email or contact hello@motorradlab.co.uk. Marketing will stop, although a minimal suppression record may be retained to ensure you are not contacted again accidentally.
5. Who receives information?
Information is shared only where needed with service providers supporting the website and business, including the VPS hosting provider, iCloud email services, postcode lookup and road-routing providers, Stripe for secure payment processing, and professional advisers where necessary. Card details are entered directly into Stripe’s protected payment fields and are not stored by Motorrad Lab. WhatsApp is operated by Meta and is governed by its own privacy information when you choose to use that link.
Postcode and routing providers receive the information required to calculate a route. The business’s private starting location is kept in protected server configuration and is not returned to your browser.
6. International processing
Some technology providers may process information outside the UK. Where this happens, we expect the provider to use an approved legal safeguard, such as UK adequacy regulations or contractual protections.
7. How long information is kept
- General enquiries are normally retained for up to 24 months after the last contact.
- Uncompleted booking requests are normally retained for up to 12 months.
- Completed service, transaction and accounting records may be retained for up to seven years.
- Marketing contact details are retained until consent is withdrawn or they are no longer needed. Consent and suppression evidence may be retained afterwards where necessary to demonstrate and respect your preference.
- Routine security logs are normally retained for a limited operational period.
- Pseudonymous website analytics records are retained for no more than approximately 13 months.
8. Security
We use HTTPS encryption, access controls, protected server configuration, secure administrative sessions, rate limiting and backups. No internet service can guarantee absolute security, but access is restricted to what is necessary.
9. Cookies
The public website does not use advertising or analytics cookies. Privacy-friendly traffic statistics are produced from first-party server request records without placing or reading an analytics identifier on your device. A strictly necessary secure session cookie is used when the owner signs into the private administration area. The WhatsApp link opens an external service that may use its own cookies after you choose to visit it.
10. Your rights
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability, or object to processing. You can withdraw consent at any time. Contact hello@motorradlab.co.uk to exercise a right. We may need to verify your identity.
You may also complain to the Information Commissioner’s Office, although we would appreciate the opportunity to address your concern first.
11. Changes to this policy
This page may be updated when the website, providers or legal requirements change. The date and version at the top show the current wording.
